BroadcastAV: accounts to set up before launch

This guide lists the online accounts the new BroadcastAV website needs. Each one should be created by your business, in your name and paid on your card, so you own everything. Then you add the Invennico team as a member. We handle all the technical setup inside each account.

At a glance

The platform has three parts: the public website, the admin panel and the API server behind both. Here is where each one will run:

broadcastav.comPublic website (hosting: Railway)
admin.broadcastav.comAdmin panel (hosting: Railway)
api.broadcastav.comAPI server (hosting: Railway), which uses the database, email and reCAPTCHA

Sub-domain names are our proposal and can be changed.

Ground rules for every account

✅ Please do

  • Sign up with a shared company address (e.g. [email protected]), not a personal one, so access survives staff changes.
  • Add billing with a company card.
  • Turn on two-factor authentication (2FA).
  • Invite Invennico as a team member at [Invennico contact email].
  • Store the logins in a password manager (e.g. Bitwarden or 1Password).

❌ Please don't

  • Send passwords or keys by email, WhatsApp or chat.
  • Share your own login with us. Invite us instead, so you can remove our access at any time.
  • Pick a free plan for the database. It has no backups (see step 4).
When a secret key has to be sharedSome steps give you a key (a long code). Send it with a one-time, self-destructing link such as Bitwarden Send or 1Password share, and send the link in a separate message.

1 Business email mailboxes Required

Where: your existing email provider (Google Workspace / Microsoft 365)Time: 10 min

You need two addresses. They can be aliases or groups that forward to real people:

Address (suggested)Purpose
[email protected]Owner login for every account in this guide. Should reach at least 2 people at your business.
[email protected]Sender address on website emails, and the inbox that receives contact-form enquiries.

Send us

The two addresses you chose.

2 Domain & DNS Required

Where: your domain registrar, or cloudflare.com (recommended)Time: 15–30 min

DNS is the internet's address book. It tells browsers where broadcastav.com lives. At launch we need to add records for the website, admin panel and API, and for email verification (step 5).

  1. Find out where broadcastav.com is registered (GoDaddy, Crazy Domains, VentraIP…) and make sure you can log in.
  2. Recommended: create a free Cloudflare account, add the domain, and follow Cloudflare's instructions to change the domain's nameservers. You get free DNS, SSL and protection against attacks.
  3. Invite us: Cloudflare → Manage Account → Members → Invite, role Administrator (or "DNS" if you prefer to limit it).
Don't change anything that affects your current emailIf your mailboxes run on this domain, the existing MX records must be copied across exactly. Cloudflare usually imports them automatically, but we'll double-check with you before switching.

Send us

Where the domain is registered, and a member invite (Cloudflare) or a time to do the DNS changes together on a call.

3 Hosting: Railway Required

Where: railway.comTime: 10 min

Railway runs the three parts of the platform. Our staging (test) site already runs there, so production will work the same way.

  1. Sign up with [email protected].
  2. Create a Workspace (team) named BroadcastAV and choose the Pro plan. The free and hobby plans are not suitable for a live business site.
  3. Add the company card under Billing. We suggest setting a usage limit / alert (e.g. US$100) so there are no surprises.
  4. Invite us: Workspace Settings → Members → Invite, role Admin.

Inside the workspace we will create the three services, attach a storage volume for product images, and connect the domains.

Send us

Just the workspace invite. No keys needed.

4 Database: MongoDB Atlas Required

Where: mongodb.com/atlasTime: 10 min

This is where all listings, categories, sellers, offers and quotes are stored. It's the most important account on this list.

  1. Sign up with [email protected]. Create an Organization "BroadcastAV" and a Project "BroadcastAV Production".
  2. Add the company card under Organization → Billing.
  3. Invite us: Project → Access Manager → Invite to Project, role Project Owner.
  4. Stop there. We'll create the cluster (the actual database server), the database users and the network rules, so they're configured correctly.
Why not the free plan? The free (M0) tier has no automatic backups and limited performance. If data were deleted by mistake it couldn't be recovered. For production we'll use a dedicated M10 cluster in the Sydney region, with daily backups, close to your Australian users.

Send us

The project invite. No keys needed.

5 Email sending: Brevo Required

Where: brevo.comTime: 20 min + DNS records

Brevo sends the website's automatic emails: sign-up verification codes, password resets, and notifications when an offer, quote request or question comes in. Without it, nobody can register or reset a password.

  1. Sign up with [email protected] and complete the company profile. Brevo may ask a few questions to verify your business.
  2. Authenticate your domain: Settings → Senders, Domains & Dedicated IPs → Domains → Add a domain → broadcastav.com. Brevo shows a few DNS records. If Cloudflare is connected (step 2) we'll add them for you. Otherwise forward them to whoever manages your domain.
  3. Add the sender: Senders → Add a sender → name BroadcastAV, email [email protected], then click the confirmation link Brevo emails to that inbox.
  4. Create the API key: Settings → SMTP & API → API Keys → Generate, name it BroadcastAV production. Copy it right away, because Brevo only shows it once.
  5. If your plan allows team members, also invite us under Settings → Users.
Why domain authentication mattersWithout it, emails from the site are likely to land in spam, or be rejected by Gmail and Outlook. That includes the sign-up verification code, so sellers couldn't finish registering.
VolumeThe free plan covers 300 emails a day, which is enough to launch. If sign-ups or offers grow beyond that, upgrading is a one-click change with nothing for us to redo.

Send us (securely)

The API key, via a one-time link (see ground rules).

6 Spam protection: Google reCAPTCHA Required

Where: google.com/recaptcha/adminTime: 5 min

This adds the "I'm not a robot" checkbox to seller sign-up, which stops bots from creating fake accounts.

  1. Sign in with a company Google account (ideally the it@ address, not a personal Gmail).
  2. Fill in the form:
    • Label: BroadcastAV Production
    • reCAPTCHA type: Challenge (v2) → "I'm not a robot" Checkbox. Please choose exactly this type, because the site is built for it.
    • Domains: broadcastav.com and www.broadcastav.com
    • Owners: add [Invennico contact email]
  3. Submit. Google shows a Site key and a Secret key.

Send us (securely)

Both the Site key and the Secret key. Only the secret key is sensitive, but send them together via one link.

7 Google Search Console + Analytics Recommended

Where: Search Console and Google AnalyticsTime: 15 min

We're replacing the old Joomla site. Search Console shows which old pages Google has indexed, so we can redirect every one of them to its new page and keep your search rankings. It also warns us about broken links after launch. Analytics gives you visitor numbers.

  1. Search Console: add a Domain property for broadcastav.com and verify it with the DNS record it gives you (we can add it via Cloudflare). If the old site is already verified, just use that property.
  2. Add us: Settings → Users and permissions → Add user, permission Full.
  3. Analytics (optional): create a GA4 property and add us as Editor.

Send us

The user invites.

8 Old website (Joomla) access Required one-off

Where: your current web hosting (cPanel / Plesk)Time: 5 min

To bring your existing listings, sellers and product photos across, we need a copy of the old website's database and image folders. Choose one of these:

Option A: give us access (easiest)

Temporary hosting control panel (cPanel) or FTP + phpMyAdmin access. Ideally a separate login you can delete after the migration.

Option B: send a copy

Ask your hosting provider or old developer for a full database backup (.sql) and a zip of the /images folder, and share them via a private link.
Please keep the old site runningDon't cancel the old hosting until we confirm the new site is live and the migration is verified.

Send us (securely)

Login details (Option A) or the download link (Option B).

Your checklist

Tick items off as you go. The ticks are saved in this browser.

What happens nextOnce these are in place, Invennico sets up the production database, the servers and the email configuration, migrates the old data, and runs a full test on the new site before switching the domain over. You'll get a go-live date to confirm before anything changes for your visitors.
